This Privacy Policy explains how RenewPermit (“RenewPermit,” “we,” “us,” or “our”) collects, uses, shares, and protects personal information in connection with our permit-renewal tracking and messaging service (the “Service”). It applies to the firearms instructors and businesses who use RenewPermit (our “Customers”) and to the students and clients whose information those Customers store in the Service (“Students”).
1. Who is responsible for your information
Our Customers use RenewPermit to manage their own student and client relationships. When a Customer uploads or enters Student information, that Customer is the party responsible (the “data controller”) for that information and for obtaining any consent required to contact those Students. RenewPermit acts as a service provider that processes Student information on the Customer’s behalf. If you are a Student and have questions about how your information is used, please contact the instructor or business you took a course with. 2. Information we collect
Information from Customers (account holders)
- Account and business details: name, business name, email address, phone number, and login credentials.
- Billing information: subscription plan and payment status. Card payments are processed by our payment provider; we do not store full card numbers on our servers.
- Usage data: log data, device and browser information, and actions taken in the Service.
Information about Students (entered by Customers)
- Contact details: name, mobile phone number, and email address.
- Permit and course details: permit type, issue and expiry dates, class history, and related notes the Customer chooses to store.
- Communication records: the reminders and messages sent, and their delivery and opt-out status.
3. How we use information
- To provide, operate, and maintain the Service, including tracking permit expiry dates and scheduling renewal reminders.
- To send SMS text messages and emails to Students on behalf of, and at the direction of, our Customers.
- To process subscriptions and payments and to provide customer support.
- To secure the Service, prevent fraud and abuse, and comply with legal obligations.
- To improve and develop features using aggregated or de-identified data.
We do not sell personal information, and we do not use Student contact information for our own marketing.
4. Text messaging (SMS) and email communications
RenewPermit sends renewal reminders and related messages by SMS and email on behalf of our Customers. Consent to receive those messages is collected and managed by the Customer who holds the relationship with the Student. By using the Service, Customers represent that they have obtained the consent required by applicable law — including the Telephone Consumer Protection Act (TCPA) — before sending messages to Students.
- Message types: permit-renewal reminders, follow-ups, and account or service notices.
- Frequency: message frequency varies based on renewal timing.
- Opt-out: reply STOP to any text message to stop SMS at any time; reply HELP for help. For email, use the unsubscribe link in the message.
- Cost: message and data rates may apply.
- Carrier registration: to send SMS in the United States we and our messaging providers participate in carrier A2P 10DLC registration. Mobile carriers are not liable for delayed or undelivered messages.
Phone numbers and opt-out status collected for messaging are used only to deliver and manage these messages and are not shared with third parties for their own marketing.
5. How we share information
We share information only as needed to run the Service:
- Service providers: messaging providers (for SMS and email delivery), hosting and infrastructure providers, and payment processors, each acting under contract on our behalf.
- The relevant Customer: Student information is accessible to the Customer who entered it.
- Legal and safety: when required by law, legal process, or to protect the rights, safety, and security of our users or the public.
- Business transfers: in connection with a merger, acquisition, or sale of assets, subject to this Policy.
6. Data retention
We retain Customer account information for as long as the account is active and as needed to provide the Service. We retain Student information on behalf of the Customer until the Customer deletes it or closes their account, after which we delete or de-identify it within a reasonable period, except where retention is required for legal, tax, or security reasons.
7. Security
We use administrative, technical, and organizational safeguards — including encryption in transit and access controls — designed to protect personal information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
8. Your choices and opt-out
- Stop text messages: reply STOP to any message from an instructor.
- Stop emails: use the unsubscribe link in any email.
- Access, correction, or deletion: Students should contact the instructor who holds their information; you may also email us at privacy@renewpermit.com. Customers can update or delete data directly in the Service.
Depending on where you live, you may have additional rights under applicable privacy laws. We honor valid requests as required by law.
9. Children’s privacy
The Service is intended for use by adults. We do not knowingly collect personal information from children under 13. If you believe a child’s information has been provided to us, contact us and we will delete it.
10. Changes to this Policy
We may update this Policy from time to time. When we do, we will revise the “Last updated” date above and, where appropriate, provide additional notice.
